Terms and Conditions

Last Updated: September 2026

1. Acceptance of Terms

By accessing or using the EcoPath platform, you agree to be bound by these Terms and Conditions. If you do not agree, please do not use our services.

2. Service Description

EcoPath provides a platform for booking sustainable travel and carbon offset expeditions. We reserve the right to modify or discontinue the service at any time without notice.

3. User Responsibilities

As a user, you agree to:

  • Provide accurate and complete information when booking or creating an account.
  • Not misuse our services or attempt to access them using a method other than the interface and instructions we provide.
  • Respect local communities and environments during your expeditions.

4. Booking, Cancellation & Refund Policy

EcoPath operates a transparent, structured cancellation and refund policy designed to protect sustainable expedition operations, vehicle charters, and local partner commitments:

Strict 5-Day Advance Cancellation Cutoff Rule

Travelers may initiate a booking cancellation and refund request through their Customer Portal strictly up to 5 calendar days prior to the tour package's scheduled Sale End Date (SaleToDate). Once the countdown reaches fewer than 5 days before sale closure, all bookings are locked and strictly non-refundable to secure dedicated coach reservations, hotel room blocks, and environmental guide deployments.

5. Multi-Tier Refund Review & Approval Process

To maintain corporate governance and strict segregation of duties (Maker-Checker policy), all refund requests undergo a 3-tier validation procedure:

1
Traveller Refund Request (Pending Admin)

The customer submits a cancellation request with a stated justification via their Customer Portal. The system programmatically verifies the $\ge 5$-day policy condition before queuing the request.

2
Operations Admin Review & Approval (Admin Approved)

Operations Administration verifies tour logistics, passenger manifest, departure date feasibility, and forwards the validated request with administrative notes to the Finance Department.

3
Finance Audit & Payout Disbursement (Refunded)

Chief Accountant / Finance audits the original payment reference, executes the electronic bank or mobile wallet transfer, and marks the transaction as disbursed.

4
Multi-Party Audit Email with CC Notification

Upon final disbursement, the system transmits an official digital confirmation email directly to the Traveler, automatically Carbon-Copying (CC) both the assigned Operations Administrator and the disbursing Finance Auditor for complete auditability.

6. Immediate Seat Inventory Re-Availability

Upon final Finance approval of a refund, the customer's reserved bus seats (bus_seats) are automatically released from booked status (IsBooked = 0) and all temporary locks are cleared. The released seats become instantly available for purchase by other travelers on the public booking platform.

7. Eco-Points & Carbon Credit Adjustments

Any Eco-Points redeemed for monetary discounts during the original booking are automatically credited back to the customer's EcoPoints wallet. Conversely, any tree planting points accrued from the canceled trip are rescinded from the platform's active ledger.

8. Contact Information

If you have questions regarding these Terms, cancellation eligibility, or your refund status, please contact our support team at support@ecopathmm.com or via your traveler dashboard.
